QuoteMaven — Privacy Policy

This Privacy Policy explains how Ben Tharpe (sole proprietor, doing business as "QuoteMaven") ("QuoteMaven," "we," "us") collects, uses, shares, and protects information when you use the QuoteMaven mobile app and related services (the "Service").
QuoteMaven is a quoting and invoicing tool for contractors and tradespeople. There are two kinds of people whose information appears in QuoteMaven, and our role differs for each:
- Contractors — the account holders who use QuoteMaven to create quotes and invoices. For their account information, we are the "controller."
- Customers — the homeowners/clients a contractor sends a quote or invoice to. A contractor enters this information into QuoteMaven; for that customer information we act as a "processor" on the contractor's behalf. 1. Information we collect
From contractors (account holders):
- Account & identity: name and email address (via Google Sign-In or email/password through Google Firebase Authentication).
- Business profile you enter: company name, phone, address, license number (optional), and a logo image, if you provide them.
- Subscription & purchase data: your plan/tier and purchase history, handled through Google Play Billing (and our billing provider, RevenueCat). We do not receive or store your Google payment method or card number.
- Device & push data: a push notification token and basic device information, used to deliver notifications.
- Usage data: app activity such as counts of quotes and AI calculations (used to apply plan limits) and diagnostic logs.
Information contractors enter about their customers:
- Customer name, phone, email, and billing/service addresses.
- Quote and invoice contents: line items, descriptions, prices, notes, and photos you attach.
- Electronic signature images and timestamps, when a customer signs a document.
Payment information (for customer card payments):
- Card payments from a contractor's customers are processed by Stripe through the contractor's own connected Stripe account. Card numbers and payment credentials are handled by Stripe and are never stored by QuoteMaven. We store only non-sensitive records of a payment (amount, date, status, and Stripe reference identifiers).
Automatically collected:
- Log and diagnostic data, approximate device/technical information, and identifiers needed to operate and secure the Service.
2. How we use information
- Provide, operate, and maintain the Service (create/send quotes and invoices, e-signing, invoicing, notifications).
- Facilitate card payments through the contractor's Stripe account.
- Power the AI quantity calculator: when a contractor uses auto-calculation, the text of the relevant line item (which may include a description you typed) is sent to our AI provider (xAI) to interpret dimensions. We instruct the provider to process it only to return a result.
- Apply subscription plan limits and manage billing and trials.
- Provide customer support and respond to requests.
- Protect the Service, prevent abuse and fraud, and comply with legal obligations.
We do not sell your personal information, and we do not use it for third-party advertising.
3. Who we share information with (subprocessors)
We share information only with service providers that help us run QuoteMaven, each handling data under their own terms:
- Google Firebase / Google Cloud — authentication, push notifications, hosting, and backups.
- Neon — the managed PostgreSQL database that stores your data.
- Stripe — card payment processing (customer payments to contractors).
- xAI — the AI model that powers the quantity calculator (receives line-item text only).
- Google Play Billing / RevenueCat — subscription purchases and management.
- Expo — push notification delivery.
We may also disclose information if required by law, to enforce our Terms, or to protect the rights, safety, and security of our users or the public. If we are ever involved in a merger or acquisition, information may transfer as part of that transaction.
4. Data retention & deletion
- We keep contractor account data and content for as long as your account is active.
- You can delete your account in the app (Settings → Account). Deleting your account removes your data from our live systems.
- Backups: we keep secure, encrypted off-site backups for disaster recovery. Deleted data may persist in backups for up to 90 days before those backups are automatically purged.
- We may retain limited records where required for legal, tax, accounting, or fraud-prevention purposes.
5. How we protect information
Data is encrypted in transit and at rest. Access is restricted, and each contractor's data is isolated from every other contractor's at the database level. No system is perfectly secure, but we take reasonable measures to protect your information.
6. Your rights and choices
Depending on where you live, you may have rights to access, correct, delete, or export your personal information, and to object to or restrict certain processing. Contractors can do most of this directly in the app or by contacting us at bmxt87dev@gmail.com. Customers should contact the contractor who holds their information, or us, and we will assist the contractor in responding.
7. Children
QuoteMaven is a business tool intended for adults (18+). It is not directed to children and we do not knowingly collect information from anyone under 18.
8. Where data is processed
QuoteMaven is operated in the United States, and information is processed and stored in the United States. If you use the Service from outside the U.S., you consent to that processing.
9. Changes to this policy
We may update this policy from time to time. If we make material changes, we will update the "Last updated" date and, where appropriate, notify you in the app.
