QuoteMaven — Privacy Policy

This Privacy Policy explains how Ben Tharpe (sole proprietor, doing business as "QuoteMaven") ("QuoteMaven," "we," "us") collects, uses, shares, and protects information when you use the QuoteMaven mobile app and related services (the "Service").

QuoteMaven is a quoting and invoicing tool for contractors and tradespeople. There are two kinds of people whose information appears in QuoteMaven, and our role differs for each:

• Contractors — the account holders who use QuoteMaven to create quotes and invoices. For their account information, we are the "controller."
• Customers — the homeowners/clients a contractor sends a quote or invoice to. A contractor enters this information into QuoteMaven; for that customer information we act as a "processor" on the contractor's behalf. If you are a customer and want your information changed or removed, contact the contractor who sent you the document (they control it); you may also contact us at bmxt87dev@gmail.com.

1. Information we collect

From contractors (account holders):

• Account & identity: name and email address (via Google Sign-In or email/password through Google Firebase Authentication).
• Business profile you enter: company name, phone, address, license number (optional), and a logo image, if you provide them.
• Subscription & purchase data: your plan/tier and purchase history, handled through Google Play Billing (and our billing provider, RevenueCat). We do not receive or store your Google payment method or card number.
• Device & push data: a push notification token and basic device information, used to deliver notifications.
• Usage data: app activity such as counts of quotes and AI calculations (used to apply plan limits) and diagnostic logs.
• Help-assistant questions: questions you ask the in-app help assistant ("Mave") are kept in a log, with basic context such as the screen you asked from, to answer you and to improve the help content.

Information contractors enter about their customers:

• Customer name, phone, email, and billing/service addresses.
• Quote and invoice contents: line items, descriptions, prices, notes, and photos you attach.
• Electronic signature images and timestamps, when a customer signs a document.

Payment information (for customer card payments):

• Card payments from a contractor's customers are processed by Stripe through the contractor's own connected Stripe account. Card numbers and payment credentials are handled by Stripe and are never stored by QuoteMaven. We store only non-sensitive records of a payment (amount, date, status, and Stripe reference identifiers).

Automatically collected:

• Log and diagnostic data, approximate device/technical information, and identifiers needed to operate and secure the Service.

2. How we use information

• Provide, operate, and maintain the Service (create/send quotes and invoices, e-signing, invoicing, notifications).
• Facilitate card payments through the contractor's Stripe account.
• Power the AI features, using our AI provider (xAI), which we instruct to process the data only to return the result: - the AI quantity calculator sends the text of the relevant line item (which may include a description you typed) to interpret dimensions; - the in-app help assistant ("Mave") sends your question, a few of your most recent messages in that help conversation, your customized label names (e.g. what you renamed "Quotes" to), and your plan tier, so answers match your app; and - recent help-question text may be used to generate suggested help topics.
• Apply subscription plan limits and manage billing and trials.
• Provide customer support and respond to requests.
• Protect the Service, prevent abuse and fraud, and comply with legal obligations.

We do not sell your personal information, and we do not use it for third-party advertising.

3. Who we share information with (subprocessors)

We share information only with service providers that help us run QuoteMaven, each handling data under their own terms:

• Google Firebase / Google Cloud — authentication, push notifications, hosting, and backups.
• Neon — the managed PostgreSQL database that stores your data.
• Stripe — card payment processing (customer payments to contractors).
• xAI — the AI models behind the quantity calculator and the in-app help assistant (receives line-item text for calculations; help questions with recent conversation context, custom label names, and plan tier for help answers and suggested topics).
• Google Play Billing / RevenueCat — subscription purchases and management.
• Expo — push notification delivery.

We may also disclose information if required by law, to enforce our Terms, or to protect the rights, safety, and security of our users or the public. If we are ever involved in a merger or acquisition, information may transfer as part of that transaction.

4. Data retention & deletion

Delete your account and all associated data — two ways, and you do NOT need the app installed:

• In the app: Settings → Account → delete your account.
• By email (no app or reinstall required): send a request to bmxt87dev@gmail.com from the email address on your QuoteMaven account with the subject "Delete my account." We will verify the request came from your account email, delete the account and its associated data from our live systems, and confirm by reply. We aim to complete email deletion requests within 30 days.

Either path deletes the account and its associated data: your business profile, quotes, invoices, customers, photos, signatures, notes, settings, help-assistant question logs, and push tokens are removed from our live systems.

Requesting deletion of specific data (without deleting your account): you can delete individual quotes, invoices, customers, photos, and attachments in the app at any time. Deleting a document first moves it to the in-app recycle bin so a mistake can be undone; recycled items become eligible for permanent removal after 30 days and are removed when the recycle bin is next processed, or immediately when you delete them from the recycle bin yourself. A document tied to an unresolved card-payment session may be held from permanent deletion until that payment record is settled. You can also email bmxt87dev@gmail.com ("Delete my data" + what to remove) and we will delete the requested items from our live systems.

What is retained, and for how long:

• Backups: encrypted off-site backups are kept for disaster recovery. Backups of your database records are scheduled for automatic deletion after 90 days. Recoverable versions may remain longer under the configured retention and recovery settings. Backup copies of uploaded images and media are stored separately and are not subject to that automatic 90-day purge — they may persist in backup storage for longer, until we delete them.
• Records we may keep: limited records where required for legal, tax, accounting, or fraud-prevention purposes, including records of payments.
• Records held by other companies: Google Play and Stripe may retain their own transaction records under their policies and applicable legal requirements. Deleting your QuoteMaven account does not erase those independent records. RevenueCat processes subscription information for QuoteMaven. Its customer records are separate from Google Play's transaction records and can be deleted separately. Deleting a RevenueCat customer record does not cancel a Google Play subscription.

Subscriptions are separate from account deletion: deleting your QuoteMaven account does not cancel a paid subscription — subscriptions are billed by Google Play and must be cancelled there. Cancel at https://play.google.com/store/account/subscriptions (Google Play → Payments & subscriptions → Subscriptions) before or after deleting your account to stop renewals.

5. How we protect information

Data is encrypted in transit and at rest. Access is restricted, and each contractor's data is isolated from every other contractor's at the database level. No system is perfectly secure, but we take reasonable measures to protect your information.

6. Your rights and choices

Depending on where you live, you may have rights to access, correct, delete, or export your personal information, and to object to or restrict certain processing. Contractors can do most of this directly in the app or by contacting us at bmxt87dev@gmail.com. Customers should contact the contractor who holds their information, or us, and we will assist the contractor in responding.

7. Children

QuoteMaven is a business tool intended for adults (18+). It is not directed to children and we do not knowingly collect information from anyone under 18.

8. Where data is processed

QuoteMaven is operated in the United States, and information is processed and stored in the United States. If you use the Service from outside the U.S., you consent to that processing.

9. Changes to this policy

We may update this policy from time to time. If we make material changes, we will update the "Last updated" date and, where appropriate, notify you in the app.
